How to Create & Customize Superbuilder Calendar Itineraries
Learn how to create and customize logistics-rich itineraries with flexible event management, detailed travel briefs, advanced visibility controls, and time-saving Magic Import.

When Should You Use Calendar Itineraries Instead of Classic Itineraries?

Superbuilder offers two ways to build itineraries: Classic and Calendar. Both give you powerful customization options, but they're designed for different types of trips.

Calendar Itineraries are ideal for trips with complex logistics, multiple events per day, or detailed schedules. They're particularly well suited for:

  • Logistics-heavy trips: Itineraries involving multiple flights, transfers, accommodations, activities, and other arrangements that need to be organized and tracked.
  • Busy day-by-day schedules: Trips with several events on any given day, where it's important to clearly communicate timings, locations, and booking details.
  • Group travel: Trips involving multiple travelers, room assignments, different arrangements, and detailed coordination.
  • Magic Import: If you're working from existing confirmations, e-tickets, or itinerary PDFs, Calendar Itineraries allow you to use Magic Import to quickly turn those documents into structured itinerary events.
  • Detailed Travel Briefs: Calendar Itineraries automatically generate a structured Travel Brief (trip overview page), bringing together flights, accommodations, transfers, activities, and other events in one organized, filterable view.

Classic Itineraries, on the other hand, are generally better suited to simpler, property-focused trips, such as beach holidays, resort stays, or safaris, where the emphasis is on showcasing the accommodations and overall experience rather than managing a detailed daily schedule.

If your trip involves lots of moving parts, multiple activities on the same day, or requires a comprehensive overview of travel logistics, Calendar is probably the best choice.

Getting Started with Calendar Itineraries

Superbuilder Calendar Itineraries give you more flexibility and control than ever before, from how you build and organize your trips to how information is presented to your travelers.

1. Create a New Calendar Itinerary

To get started, create a new itinerary and select Calendar as your itinerary type.

You can choose to:

  • Start from Scratch: Build your itinerary by adding individual events.
  • Start from a Template: coming soon.
  • Magic Import: Import an existing confirmation or itinerary PDF to save time.

When creating your itinerary, you can also configure:

  • Internal Notes: Add notes for your team and @mention colleagues to send them notifications. These notes are also searchable from the Files Dashboard.
  • Title & Subtitles: Customize the text displayed on your itinerary cover. You're not limited to a traveler name or date range.
  • Content Pages: Add pages from your Content Library, such as an About Us page or an Introductory Note.
  • Partner Agent Branding: Display a Partner Agent's logo instead of your own, or co-brand the itinerary with both logos.
  • App Selection: If you have a custom app, it will be selected by default, but you can switch to the Travel Portal app for an individual itinerary.

Once you're ready, click Create to open the Board View.

2. Build Your Itinerary in Board View

The Board View is where you add and manage the events that make up your itinerary.

Click Add Event to add flights, transfers, accommodations, activities, and other information.

You can also drag and drop events between dates or select multiple events to move or delete them in bulk.

Pro Tip: To select all events on a particular day, click the checkbox next to the day number. To select events across multiple days, click the checkbox next to the first day number, then click the checkbox next to the last day number in your desired range.

Adding Flights

You can add flights by searching for a flight number or route, or by entering flight details manually.

Flight events support information such as:

  • Airline and flight number
  • Departure and arrival locations and times
  • Record locator / PNR
  • Seat numbers
  • Confirmation number
  • Cabin class
  • Booking details and duration

You can also attach relevant Content Library pages, such as information about the airline or aircraft.

Customize Your Flight Notes

Add notes specifically for the Travel Brief, the day-by-day itinerary, or both. Use the Sync option to keep the notes consistent across both views.

You can also include hyperlinks, such as an airline's online check-in page.

Adding Transfers

Transfer events let you configure:

  • Departure and arrival locations
  • Dates and times
  • Duration and vehicle type
  • Transportation provider and booking details
  • Confirmation numbers
  • Contact information
  • Content Library pages
  • Notes and visibility settings

You can include as much or as little information as needed.

Adding Accommodations

Accommodation events offer extensive customization options.

You can configure:

  • Accommodation Details: Room types, number of rooms, bed configurations, and basis of stay.
  • Traveler Assignments: Assign different rooms and configurations to different travelers.
  • Booking Information: Confirmation numbers and arrival/departure times.
  • Contacts: Pull in contacts associated with your Content Library resources or add them manually.
  • Property Details: Policies, amenities, inclusions, exclusions, and standard check-in/check-out times.
  • Alternative Accommodations: Mark properties as alternative options when presenting multiple choices.
  • Custom Icons & Titles: Choose icons from the icon library or Media Library, upload your own, and customize event titles such as "Check in at" or "Stay at."

Control How Accommodations Appear

Unlike the original Builder, Superbuilder lets you decide exactly how accommodations appear in your itinerary.

You can display an accommodation on:

  • Every day of the stay
  • Check-in and check-out days only
  • A single multi-day page covering the entire stay

You can also display accommodation details in collapsible sections, keeping the itinerary clean and easy to navigate.

Adding Activities & Custom Activity Types

Activity events can be categorized using types such as full-day activities, half-day activities, meals, private tours, and group tours.

You can also create your own custom activity types, such as Dining, Tickets, or any other category that suits your business.

These custom types can also be used to filter events on the Travel Brief.

3. Control When Information Becomes Visible

One of Superbuilder's most powerful new features is Visibility Settings.

These settings allow you to control exactly when events or specific details become visible on the client-facing itinerary.

You can configure information to appear or disappear a specified number of days before or after certain dates or trip milestones.

For example:

  • Show a flight event only after the File has been confirmed.
  • Reveal accommodation policies 30 days before departure.
  • Keep certain details hidden until they're relevant to the traveler.

Visibility controls are available within individual events, giving you granular control over what your clients see and when they see it.

4. Customize Itinerary Dates & Display Settings

From More Options in the Board View, you can customize your itinerary's date and display settings.

Options include:

  • Start Date: Change the itinerary's start date.
  • Day Zero: Start your itinerary from Day 0 rather than Day 1, useful for international departure days.
  • Hide Dates: Create itineraries labeled Day 1, Day 2, Day 3, etc., without displaying specific calendar dates.
  • Days of the Week: Choose whether to display weekdays.
  • Date Format: Select US or UK/European date formatting.
  • Time Format: Choose between 12-hour and 24-hour time formats.
  • Content Display: Choose whether newly added Content Library pages should be collapsed by default.

You can also save these preferences as your own defaults by clicking Make Default & Save. Your new itineraries will then start with these settings.

Important: If you change the itinerary's start date after adding flights, check that your flight dates are still correct.

5. Manage Internal Event Details & Team Collaboration

Each event includes an Internal tab for information that helps your team manage bookings.

You can:

  • Set booking statuses, such as Provisional, Booked, or Ticketed.
  • Customize the available booking statuses to match your workflow.
  • Record Suppliers and booking channels.
  • Add internal notes.
  • @mention teammates to send them notifications.

For example, you could add a note asking a colleague to confirm a flight booking, and they'll receive a notification.

6. Customize Your Client-Facing Itinerary

Switch to the Itinerary tab to see your client-facing itinerary take shape.

Superbuilder automatically generates a Travel Brief based on your events.

Travel Brief

The Travel Brief provides an overview of the trip, including flights, transfers, accommodations, activities, and other events.

You can:

  • Filter events by type, including your custom activity types.
  • Edit events directly without returning to Board View.
  • Expand or collapse event details.
  • Control the display of event icons through your theme settings.
  • Sync events to a calendar once the itinerary is live.

Rearrange & Add Pages

You can rearrange sections of your itinerary to create exactly the flow you want.

Add pages such as:

  • Content Library pages
  • Costs pages
  • Blank custom pages
  • Full-width image pages
  • Maps

Full-width images can be particularly useful as visual chapter breaks between destinations.

You can also use AI to help draft content and duplicate existing sections.

Pro Tip: If you always want to include a Costs page in your itineraries, add a Costs page, position it where you'd like it to display, optionally add standard inclusions and exclusions, or start from a Cost Template. Then save the whole itinerary as a Template to start from later.

Customize Your Cover Quote

Superbuilder can automatically select a quote relevant to the itinerary's destination.

You can shuffle the suggested quote, choose another from the quote library, or write your own by clicking into the quote text itself and free typing.

7. Customize Your Itinerary Theme

Superbuilder's expanded theme editor gives you more creative control over the appearance of your itineraries.

You can customize:

  • Fonts and font sizes
  • Text and background colors
  • Button styles
  • Page layouts
  • Navigation bar display

Additional Theme Settings

Under the Settings tab of your theme, you'll find additional display controls, including:

  • Text Over Primary Images: Choose whether to show or hide text over primary images.
  • Travel Brief Icons: Show or hide event icons on the Travel Brief.
  • Information Events: Choose whether to display information events on the Travel Brief.

These options help you create a cleaner, more minimal design or a more detailed, information-rich itinerary, depending on your preferences.

If your preferred font isn't available, contact our team about adding it for a small fee. We can also create a completely custom premium theme for your business.

8. Configure Automatic Flight Notifications

Superbuilder allows you to configure flight notifications directly from your itinerary.

You can decide:

  • Whether flight changes should automatically update the client-facing itinerary.
  • Whether email notifications should be sent.
  • Who should receive those notifications.

Recipients can include the File owner, sales consultants, travelers, or other contacts, such as a transfer driver.

Notifications can include flight changes, gate changes, and baggage carousel updates.

Note: Flight notifications are available beginning 72 hours before the scheduled flight.

You can also save your notification preferences as defaults so you don't need to configure them for every itinerary.

9. Translate Itineraries & Review Audit Logs

Itinerary Translation

Use the translation feature to create itineraries in other languages.

Audit Logs

Superbuilder includes detailed audit logs so you can track changes made to an itinerary.

You can see:

  • What was changed
  • When the change was made
  • Who made the change

You can also filter the logs by event type, dates, change type, or team member.

This makes it easier to collaborate and maintain visibility into itinerary updates.

10. Use Magic Import to Save Time

Magic Import lets you build an itinerary from an existing document instead of entering everything manually.

You can import an existing confirmation or itinerary PDF directly into Safari Portal.

To access Magic Import, select Magic Import when creating your itinerary or find it under More Options in the Board View.

This is especially useful when you've received booking confirmations or existing itineraries and want to turn them into a Superbuilder itinerary.

11. Export Your Itinerary as a PDF

Once your itinerary is ready, you can publish it and optionally export it as a PDF.

Superbuilder provides extensive control over what your PDF includes and how the information is presented.

Choose Your PDF Format

You can generate:

  • Detailed Itinerary: A comprehensive document with more detailed information.
  • Summary Itinerary: A condensed version showing the most important trip details.

You can also customize the level of detail for individual event categories, so you could create a summary itinerary while retaining detailed accommodation information.

Customize Your PDF Content

Choose:

  • Which pages to include, such as the cover page, Travel Brief, or individual content pages.
  • Whether to include images.
  • How much detail to display for each event type.
  • Whether accommodation content pages should appear within the day-by-day itinerary or in a separate annex.

Your PDF will use the fonts configured in your itinerary theme, except in the header and footer.

Add a Link to Live Updates

You can include a link in the PDF footer that takes travelers directly to the live digital itinerary.

This allows clients to access the latest version of their trip information, even if they're viewing an older PDF.

You can also export itinerary information to Google Sheets to use to quote the trip.
