What should I name my Files?
Recommended best practices for your File names.

Files should focus on a specific inquiry. Avoid generic names tied to a client, year, or place. Use unique trip details instead.


Do:

  • โœ… "West x 5, Italy, July 2026"
  • โœ… "West x 7, France, August 2027" (for the same clients booking another trip).


Don't:

  • โŒ"West Family Trips"
  • โŒ"All Japan Trips"
  • โŒ"All 2027 Trips"



Include Surname, Year, Location, and Number of Guests

To make your Files easy to locate and understand at a glance, include the following:

  • Surname: Last name of main traveler(s).
  • Year: Travel year.
  • Location: Destination.
  • Guests: Total travelers.


Do:

  • โœ… "Jessica Laughlin x 2, Maldives, January 2025"


Don't:

  • โŒ "Eric from Travel Con sometime in 2026"
  • โŒ "Email received Jan 1st about honeymoon"
  • โŒ "Referral from Greg with around 10 people"



Use Internal File Notes

File titles should remain concise and easy to read. Use Internal File Notes to include supplementary information that isnโ€™t necessary at a glance but may be useful later for searching.


Do:

  • โœ… File Name: "Smith x 7, India, Feb 2026"
  • โœ… Internal File Notes: guided, repeat, multi-gen, family, multigenerational, active


Don't:

  • โŒ File Name: "Smith x 7, India, Feb 2026, repeat client, family trip, multi-generational, active"
