What is the Travelers tab on expanded Files?
How the Travelers tab organizes and displays traveler details.

The Travelers tab displays a complete list of all travelers associated with a File. It consolidates traveler information into a single, centralized view and is always visible, regardless of whether a Guest Portal exists or the File has been confirmed.


Travelers can be added manually or are automatically added once a Guest Form or Custom Form is submitted. For custom forms, the form must be assigned to the File for the traveler to appear in the Travelers tab.


Travelers are also added automatically if someone is added as the recipient on an Invoice assigned to the File.


Step-By-Step Instructions

  1. Expand the relevant File.
  2. Click the Open File Details tab.
  3. Select the Travelers tab from the right-hand navigation.


The Travelers tab displays the following details for each traveler:

  • Client name
  • Client email address
  • Date of Birth
  • Health & Dietary
  • Extras
  • Form submission date
  • Added via, such as:
    • Manual entry
    • Guest Form
    • Custom Form type (for example, Lead Form or Client Information Form)
    • Invoice
  • Guest Portal Name
  • Passport button, which allows you to view and download the traveler’s passport (when uploaded)



Tips & Tricks 💥

  • In the Extras column, a blue umbrella icon indicates that the client has purchased travel insurance. A blue phone icon indicates that the client has downloaded the app. Hover over the phone icon to see which app they installed.

  • Clicking on a Traveler’s name opens their Contact Profile.
  • If a Traveler is deleted from a Guest Form, they are also removed from the Travelers tab.
  • When a traveler is added using a Custom Form, the Travelers tab will show the form category (e.g., Lead Form, Guest Form, Planning Form, Feedback Form, or Waiver)
  • Click the Passport button next to a client's name to view and download their passport.
    • The button will be greyed out if no passport was uploaded.
  • Click the three dots to view the client's Contact Profile or remove them from the File.
