What are Partner Agents and Suppliers?
Understand the difference between Partner Agents and Suppliers and how to use them in Safari Portal

Safari Portal's Contacts module allows you to manage both Partner Agents and Suppliers. While they share many similarities, they serve different purposes within your business workflows.

What is a Partner Agent?

A Partner Agent refers to any company or business you collaborate with. Despite the name, a Partner Agent does not necessarily need to be an actual travel advisor or agency โ€” it can represent any external company that you work with.

Typically, Partner Agents represent companies that work with you in a B2B capacity and manage the end client relationship directly. However, there is no strict requirement for the relationship to work this way.

White labeling and co-branding

If you have the White Labeling feature enabled, you can use a Partner Agent profile for white labeling purposes.

When a Partner Agent is assigned to an itinerary, lookbook, or Travel Dashboard for white labeling:

  • The Partner Agent's logo and contact information can appear on proposals.
  • You can choose to fully white label the proposal or co-brand it by displaying both your logo and the Partner Agent's logo.

Partner Agent profile fields

Partner Agent profiles support:

  • Consultant Name, Email, Phone, and Title
  • Company Name
  • Host Agency
  • Affiliations
  • Tags

Company-level information

In Safari Portal, the Company itself is treated as a separate entity.

This means that if multiple Partner Agent contacts belong to the same company:

  • Host Agency information is shared across the company.
  • Affiliations are shared across the company.

Updating these fields on one Partner Agent profile will automatically update them for all Partner Agent contacts associated with the same company.


Financial tracking

You can create both:

  • Expenses
  • Invoices

against any Partner Agent profile to track money owed to or owed by that company.

What is a Supplier?

A Supplier is any company that provides services to you or your travelers.

In other systems, Suppliers may be referred to as Vendors.

Examples of Suppliers include:

  • Accommodation providers
  • DMCs
  • Transfer providers
  • Guides
  • Experience providers
  • Activity operators
  • Transportation companies
  • Restaurants
  • Cruise companies

Supplier profile fields

Supplier profiles support:

  • Contact Person, Email, Phone, and Title
  • Company Name
  • Supplier Type
  • Affiliations
  • Destinations/Regions Served
  • Tags

Company-level information

Supplier companies work similarly to Partner Agent companies.

If multiple Supplier contacts belong to the same company, updates to company-level information will automatically apply across all Supplier profiles associated with that company.

Shared company information includes:

  • Supplier Type
  • Affiliations
  • Destinations/Regions Served

Financial tracking

You can create both:

  • Expenses
  • Invoices

against any Supplier profile to track money owed to or owed by that company.

Expense payments with FlowBrite

Both Supplier and Partner Agent profiles can be linked to a FlowBrite beneficiary.

This allows you to:

  • Initiate payments directly from Safari Portal
  • Send individual supplier payments
  • Process bulk supplier payments

๐Ÿ‘‰ Automatically track payments, accounts payable, and accounts receivable within your financial records, giving you a clear picture of how much you've paid, how much you're owed, and how much you owe others.


Filtering Suppliers and Partner Agents

Safari Portal includes advanced filtering options to help you quickly locate the right contacts.

You can filter Suppliers and Partner Agents by:

  • Company Name
  • Host Agency
  • Affiliations
  • Supplier Type
  • Destinations/Regions Served
  • Tags

This makes it easy to find, for example:

  • All advisors working under a particular Host Agency
  • All companies affiliated with Virtuoso or Serandipians
  • All suppliers operating in a specific destination or region
  • All suppliers of a particular type, such as DMCs or accommodation providers
