How do I set up a new user on my team to take over for someone who is leaving?
Add them with the same permissions, then transfer the old user's data before removal.

When someone leaves your team, an Account Admin can set up a new user to take over. Give the new user the same permissions, then move the old user's data to them or another teammate. Follow the first path if you have a free seat. Follow the second path if all your seats are in use.
Step-By-Step Instructions
If You Have a Free Seat
First, add the new user.
- Click the profile icon in the top-right corner of Safari Portal and select Settings.
- Go to the Users tab.
- Click the pencil icon next to the user who is leaving. Record their Role or permission settings. You will use this info to set up the new user.
- Click the + button to add the new user. Enter their Email.
- Pick a Role under Assign a Role, or turn on custom permissions and match the settings you recorded. Then click Confirm.
When you're ready, remove the user who is leaving.
- Go to Settings and open the Users tab.
- Click the trash can icon next to the user who is leaving.
- In the Delete User & Transfer Data window, select who should get their Files and other account data. You can pick the new user or any other teammate. Then click Confirm.
If All Your Seats Are in Use
- Click the profile icon in the top-right corner of Safari Portal and select Settings.
- Go to the Users tab.
- Click the pencil icon next to the user who is leaving. Record their Role or permission settings. You will use this info to set up the new user.

- Click the + button to add the new user. Enter their Email.
- Pick a Role under Assign a Role, or turn on custom permissions and match the settings you recorded. Then click Confirm.
- When you're ready, click the trash can icon next to the user you turned off.
- In the Delete User & Transfer Data window, select who should get their Files and other account data. You can pick the new user or any other teammate. Then click Confirm.
Tips & Tricks 💥
- Plan to reuse these permissions? Build a custom Role once, then assign it to anyone you add later. See How do I use Roles to manage permissions for my team?
- A turned-off user can't log in and doesn't take up a seat. Their Files stay with them until you delete them. See How do I remove a user from my Safari Portal account?
- Deleting a user does not change your billing. Reach out to our team at [email protected] if you need to remove a seat.
- If the person keeping the seat can still sign in, they can change the login email instead. See How can I update my email address or transfer a seat to another user?
