What does the Privacy Policy in Company Settings do?
Understand how your company Privacy Policy is used throughout Safari Portal

The Privacy Policy in your Company Settings is used in several places throughout Safari Portal to help ensure your clients and partners acknowledge your terms before accessing or sharing client information.


Only your Company Admin can manage the Privacy Policy in Company Settings.



Where is it used?

Guest Portals (legacy)

Note: Guest Portals are being retired. You will no longer be able to create new Guest Portals after December 31, 2026, although existing Guest Portals will continue to be supported until December 31, 2027.

If you're using Guest Portals, clients are required to accept your Privacy Policy before they can access their portal.

They'll be presented with your Privacy Policy and asked to confirm they agree before continuing.

Sharing traveller information with partners

When you share traveler information with a partner through Safari Portal, the receiving partner must acknowledge and accept your Privacy Policy before they can access the shared client information.

This helps ensure your partners understand and agree to your terms before viewing your clients' personal information.

Forms

When building a custom Form, you can add the Terms & Policies element.

By default, this element is automatically populated using the Privacy Policy stored in your Company Settings.

This allows you to maintain a consistent set of terms across your forms without needing to recreate them each time.

Editing Terms & Policies within a form

Anyone with permission to edit a Form can modify the Terms & Policies text within that specific form.

Once the text has been edited, it is no longer linked to the Privacy Policy in Company Settings.

From that point on:

  • Changes made to the Company Privacy Policy will not update that form.
  • Changes made to the form's Terms & Policies will not update the Company Privacy Policy.

If you want a form to always reflect your latest Company Privacy Policy, avoid editing the pre-populated text after adding the Terms & Policies element.

Who can manage the Company Privacy Policy?

The Privacy Policy in Company Settings can only be edited by your Company Admin.

To update it:

  1. Click your profile in the top-right corner.
  2. Select Settings.
  3. Open the Company Settings tab.
  4. Scroll to Privacy Policy.
  5. Update your terms and click Publish.
