How do I manage large group trips in Safari Portal?
Use the Content Library to manage shared days and activities across multiple Itineraries.

When working with large group trips, it’s common to need multiple Itinerary variations that share some activities but differ on others. This workflow explains how to efficiently manage those variations using the Content Library, so your team only has to update shared information once. This is ideal when:

 

  • You’re managing large group trips (e.g., 100+ travelers)
  • The group is divided into sub-groups (e.g., Group A, Group B, Whole Group)
  • Some days or activities are shared, while others differ
  • You want to avoid duplicating and manually updating the same content across multiple Itineraries

 

Example:


A group of 297 travelers split into 6 sub-groups. Some days are identical across all groups, while other days have different activities. Instead of maintaining 6 separate Itineraries with duplicate content, shared days are managed directly in the Content Library. Here's how:

 

1. Create a Content Page

  • Navigate to the Content Library
  • Create a new Activity Page
    • Example title: Day 1 – Arrival
  • Assign a location (e.g., London, United Kingdom)

 

 

2. Use Tags to Identify Group Relevance

Tags help your team quickly understand who the content applies to. This is especially important when multiple sub-groups exist within one trip.

 

Examples:

  • Whole Group
  • Group A
  • Group B

 

 

3. Structure the Page Content

Using the Element Library, you can structure the content with elements such as:

 

Then build the day exactly as you want travelers to see it:

  • Breakfast
    • “Join everyone for breakfast.”
  • Departure
    • “Depart at 10:00 AM”
    • “Meet in the lobby”
    • “You will be introduced to your guides for the day”

 

📌 Note: Keep activities in chronological order and add exact times only once they are confirmed. Avoid adding time-specific details too early.

 

 

 

4. Pull the Content Page into Itineraries

Classic Builder

  • Pull the Content Page in as a full day
  • Ideal when you want a day-by-day layout

 

Calendar Builder

  • Pull the content in as:
    • An activity
    • An information item
  • Works well for time-based schedules

 

📌 Note: Calendar Builder does not display the same layout as Classic Builder. For this reason, many advisors:

  • Keep generic items (e.g., breakfast) directly in the Itinerary
  • Use the Content Library for detailed or shared activities

 

To Keep Everything in Sync

Do

  • Edit shared days and activities only on the Content Page in the Content Library

 

Do Not

  • Edit the Content Page directly inside an Itinerary

 

⚠️ Important: Any updates made to the Content Page in the Content Library will automatically apply to all Itineraries that use that page. Updates will not sync if edits are made directly to the Content Page within an Itinerary.
