How do I create and use a Guest Portal?
A simple walkthrough for creating and using your Guest Portal.

 

Guest Portals are designed to seamlessly manage every task that arises after confirmation, bringing together all necessary actions into a single, streamlined platform. This intuitive and efficient solution simplifies complex processes, ensuring that everything gets done quickly and effortlessly, making the experience smoother for both users and administrators alike.

 

Guest Portals allow you to:

  • Share pre-travel information like packing lists, health and dietary, weather, visas, and more.
  • Collect client information via Guest Forms
    • Any information collected via Guest Forms automatically syncs to your Contacts module
    • And, you can share any client information collected via forms with DMCs or partners with one click using the Send Guest Info button on your Dashboard
  • Share flight information (especially relevant for Classic builder Itineraries)
  • The Travel Wallet makes it easy to conveniently share documents like e-tickets and more.

 

Important Note

Guest Portals are always linked to a confirmed Itinerary.

 

When a traveler views their Guest Portal, they can easily toggle between the information you’ve entered (when creating the portal) and their confirmed detailed Itinerary.

 

Feel free to invite yourself to any Guest Portal to experience the flow firsthand.

 

 

How to Confirm a Trip and Create a Guest Portal

Before you create a Guest Portal, your Itinerary must be confirmed. Click here for a refresher on how to confirm Itineraries. Once confirmed, you can create a Guest Portal in one of two ways.

 

  • Option one: During the Itinerary confirmation process, click Create Guest Portal box while on the Guest Portal tab.

 

 

  • Option two: If you prefer to create the Guest Portal later, leave the Create Guest Portal option unchecked. When you’re ready, click Enter Portal next to the Itinerary to create the Guest Portal from scratch or from a Guest Portal template.

 


From here, you can:

  • Enter a title for your Guest Portal.
  • You can also add any internal notes, similar to Internal File Notes.
  • Pull in any pages from your Content Library to appear at the beginning or middle of the Guest Portal, such as a Welcome note and any Pre-travel information pages or packing lists.
  • Click Next when you're done adding pages to move to the next tab.

  • In the next tab, Guest Forms, you can click Add Guest and use the Search Existing feature to find any client information already on File. When selected, their details will automatically prepopulate the forms. You can also fill out the forms manually or leave them blank for travelers to complete themselves.
  • Click Next when done.

  • If you created your Itinerary using Classic Builder, the next tab will be a Flights tab, where you can input flight information manually using the Add Flights Manually option, or automatically pull in live flight data via the flights search option.

 

 

  • On the next tab, Travel Wallet, upload any vouchers, e-tickets, waivers, miscellaneous documents, or any relevant links
  • Note that any documents uploaded via Guest Forms will automatically be added to the traveler-facing Travel Wallet too so that your clients can easily find their passports, e-visas, etc

Sharing Your Guest Portal

Unlike Lookbooks and Itineraries, Guest Portals can only be shared via a system-generated email invitation. This is for security purposes to authenticate them, as Guest Portals can contain personal information.

 

You can share your Guest Portal while you have it open by clicking the share icon in the top-right.

You can also share your Guest Portal directly from your Dashboard by clicking the Share button next to the Guest Portal.

Using Guest Portals when working with another Partner Agent / B2B and white labeling

If you are a DMC or working with another agent on this proposal (B2B), make sure Share with Partner Agent is selected in the share window.

 

You can ask the agent you are partnering with to share the proposal with the client, so that the invitation to the guest portal will come from them.

 

To do this, they should accept the invite you send them for the Guest Portal, log in, and then click the ➕ icon in the top right of the portal.

 

Sharing Client Information
