How Flowbrite Payments Work in Safari Portal

This guide explains how to set up Flowbrite and what happens when you process payments through Flowbrite in Safari Portal (SP), including timelines, statuses, and what to expect for both USD and foreign currency payments.


Before You Begin: Initial Setup

Before processing payments, complete these steps:


1. Set Up Your Flowbrite Account


2. Create Beneficiaries in Flowbrite

  • In Flowbrite, create a beneficiary profile for each supplier you plan to pay.
  • If a supplier accepts payments in multiple currencies (e.g., USD and EUR), you must create a separate beneficiary for each currency.


3. Link Suppliers in Safari Portal

In Safari Portal:

  • Create a Supplier contact profile for each beneficiary, OR
  • If the supplier already exists, open the contact profile
  • Click the Flowbrite tab
  • Connect the supplier to the appropriate Flowbrite beneficiary


Important:

You should have one SP supplier per currency you pay them in.

Once this setup is complete, you’re ready to process payments.


Scenario 1: USD → USD Payments, or Any Same Currency Payments

Step 1: Create the Expense

  • Create the expense in SP.
  • Select Flowbrite as the payment processor.
  • Confirm the supplier is linked correctly.
  • The status in SP will show as Planned.

Step 2: Initiate Payment

  • Click Pay
  • Click Confirm Pay

What Happens Next

Notifications

  • Supplier receives: New pending payment from YOUR COMPANY
  • You receive: New pending payment
  • SP status changes to Pending
  • Flowbrite sends:
    • Payment Instructed from YOUR COMPANY
    • New funding of USD XXXX has been received


Funding & Timing

If USD is already in your Flowbrite account:

  • Payment is typically sent within 0–24 hours
  • Beneficiary receives funds within 24–72 hours
  • SP status updates to Paid once Flowbrite settles the payment

If Flowbrite needs to pull funds from your bank:

  • With auto-debit (recommended for U.S. companies), funding takes 2–3 business days
  • Payment is released once funded
  • Beneficiary receives funds within 2–3 working days

Fees & Amount Reflected in SP

  • Safari Portal does not charge a payment fee.
  • SP reflects the settled net amount returned by Flowbrite.

Flowbrite Status

Payment status in Flowbrite will show as Completed once finalized. Tracking can be provided at this stage.

Scenario 2: Cross-Currency Payments (USD to Foreign Currency or Other Currency Conversions)


Step 1: Create the Expense

  • Create the expense in SP.
  • Select Flowbrite as the payment processor.
  • Status shows as Planned.

Step 2: Initiate Payment

  • Click Pay
  • Select the foreign currency
  • Confirm Pay

If it is past 5:00pm EST, choose the next banking day.

Note: The selected payment date does not lock in the exchange rate — it determines when conversion occurs.


Exchange Rate Important

The rate shown in SP is indicative only.


You will receive an email from Flowbrite with the actual exchange rate before the trade executes.


You must reply:
PLEASE CONFIRM


Only after confirmation will the trade proceed.


What Happens Next

  • Supplier receives an email: New pending payment from YOUR COMPANY
  • You receive an email: New pending payment
  • SP status changes to Pending
  • You receive the following emails from Flowbrite:
    • Trade Confirmation – Trade XXXXX
    • Payment Instructed from YOUR COMPANY
    • New funding of USD XXXX has been received

The SP status changes to Paid once Flowbrite settles the transaction and returns the final rate.

SP updates the amount to reflect the actual exchange rate used.


Funding & Timing

If USD is already in Flowbrite and converted same day:

  • The payment is typically sent within 24 hours
  • Beneficiary receives funds within 24–72 hours

If funds must be pulled from your bank:

  • Funding takes 2–3 working days
  • Beneficiary receives funds within 2–3 working days


Weekend & Market Hours

The foreign exchange market:

  • Closes at 5:00pm EST Friday
  • Reopens at 5:00pm EST Sunday


You can create payments over the weekend, but currency conversion will not occur until markets reopen.

Summary

USD Payments

  • Fastest if funds are already in Flowbrite.
  • Auto-debit funding takes 2–3 business days.
  • SP updates to Paid once settled.

Foreign Currency Payments

  • Exchange rate confirmed before trade.
  • Same-day conversion available if funds are already in Flowbrite.
  • No conversions occur over the weekend.
