Quick Takeaways
- In this webinar, Safari Portal walked through updates to emails, forms, credit card authorizations, and gave a sneak peek of upcoming in-app messaging.
- When you share a proposal or Guest Portal via email, you can now fully format the message (bold, italics, underline, bullets, hyperlinks, emojis). Make sure to update your email templates so they send with your preferred formatting every time.
- Emails sharing proposals or Guest Portals are still sent through Safari Portal (from
[email protected]), but appear to come from you. Replies go straight to your inbox. - Emails attached to tasks can also be formatted in Safari Portal, then opened in your own email outbox. To keep the formatting, simply follow the prompt in the email: press Ctrl/Command-A then Ctrl/Command-V to replace the plain text with the formatted version.
- Credit card authorization forms now support billing address fields and custom, savable terms & conditions templates (e.g., separate templates for different suppliers). You can set a default template so the correct terms auto-populate each time.
- You can also hyperlink to external terms and conditions instead of pasting the full text (e.g., “Click here to view terms and conditions”).
- Form routing is smarter: when a form is shared, responses are emailed to the person who shared it, plus—if the form is attached to a File—the File owner and any sales consultants on that File.
- Forms now support e-signatures with settings to make the field required, adjust width, and turn on email verification for an extra layer of security. Great for waivers and other sign-offs. (Audit trails and additional security enhancements are on the roadmap.)
- For groups, travelers can submit one form per person by using the Submit another flow. You can clarify this with helper text at the top of the form and a custom submit message.
- Forms can be embedded in proposals, Lookbooks, and even your website. When embedded in a proposal/Lookbook, submissions are automatically attached to that File. White-labeling via a Lookbook lets you display a partner’s logo while still receiving the responses yourself.
- Guest Portals will soon support custom guest forms instead of the standard Safari Portal form. You’ll be able to choose your own form, search existing guests, and pre-populate fields from their contact profiles.
- New in-app messaging (currently in testing) gives you one group chat per File. You add travelers, partner agents, suppliers, and sales consultants from the File’s information tab, rename the chat, and keep all trip-related communication in one place. Participants receive notifications via the Travel Portal app (based on their phone settings) and by email, and can even reply directly from the email.
