Why Are Some Fields Masked in Form Submission Emails?
Learn why sensitive information is hidden in form submission emails, how to view full responses, and how to manage masking settings and notification recipients.

Safari Portal automatically masks potentially sensitive client information in form submission notification emails to help protect traveler privacy.

Instead of displaying full values, sensitive fields such as passport numbers, dates of birth, and email addresses may appear partially or fully hidden. For example, an email address might appear as r*@gmail.com**.

This helps prevent sensitive traveler information from being unnecessarily exposed in email inboxes.

The full, unmasked submission is always available within Safari Portal.

How to View Unmasked Form Submissions

To view the complete information submitted by a traveler:

  1. Open the form submission notification email.
  2. Scroll to the bottom and click View Submission.
  3. You'll be taken directly to the form submission within the traveler's Contact Profile, where you can view the complete, unmasked responses.

You can also click the eye icon to preview a submission or the download icon to save it as a PDF.

How to Enable or Disable Sensitive Data Masking

Account administrators can manage this setting for the entire company.

  1. Navigate to Account Settings.
  2. Open the Company tab.
  3. Locate the Form Submission Security section.
  4. Use the toggle labeled Mask potentially sensitive client data in shared form submissions to enable or disable masking.

When enabled: Potentially sensitive client information is masked in form submission notification emails.

When disabled: Sensitive information may be included in notification emails in its original, unmasked form. Note that passport information will always be masked.

Important: We strongly recommend keeping masking enabled to protect your clients' personal information. Disabling this setting increases the risk of sensitive data being exposed through email forwarding, unauthorized inbox access, or other email security vulnerabilities.

This is a company-wide setting, so changes made by an account administrator apply to form submission notifications across the account.

Who Receives Form Submission Notifications?

Form submission notification emails are sent to the recipients configured for the form.

You can control who receives these notifications through your form's notification settings, helping ensure that submissions are shared only with the appropriate team members.

For detailed instructions on how notification recipients are determined and how to manage them, see:

Who Gets Notified When a Form Is Submitted?

We recommend reviewing your notification recipients regularly, particularly when collecting sensitive traveler information.

Tips & Tricks 💥

  • Masking only affects notification emails. It does not change or remove any information stored in Safari Portal.
  • You don't need to disable masking to view complete responses. Simply open the submission within Safari Portal.
  • Keep your recipient list up to date. Only send submission notifications to team members who need access to the information.
  • Download submissions when needed. You can save individual submissions as PDFs or export form responses as CSV files.
