How do I let clients pay an invoice in another currency?
Keep your invoice in its original currency while letting travelers pay in another, with control over the exchange rate used to help protect your margins from currency fluctuations and conversion costs.

If your invoice is in one currency but your client would prefer to pay in another, you can enable Offer Payments in Another Currency directly from the Invoice Builder.

This lets you keep the invoice and payment schedule in your original invoice currency while giving the traveler the option to pay in a second currency at checkout.


For example, you might create an invoice for €5,000 EUR but allow your client to choose whether they would like to pay in EUR or USD.


Your invoice stays in its original currency. The additional currency simply gives your client another option for making their payment.


For example, you might issue an invoice for €5,000 EUR but allow your client to pay in USD. Safari Portal can tie the USD payment amount to a live daily exchange rate with an optional buffer, or you can set the exchange rate yourself.


This gives your traveler more flexibility while giving you greater control over currency conversion and helping protect your margins from exchange rate fluctuations.


Note: Multi-currency payments are available when Stripe is selected as the payment processor for the invoice.



Enable another payment currency

From your invoice, go to the Payments tab and find Payment Options.

Toggle on Offer Payments in Another Currency.

You’ll then be able to choose the additional currency you’d like to offer and how you want Safari Portal to determine the exchange rate.

Choose your exchange rate

You have two options:

Live Daily Rate
Select this option to use the current daily exchange rate provided by Open Exchange Rates. Safari Portal uses the current daily exchange rate from Open Exchange Rates to calculate the payment amount. This means the amount your traveler pays is based on the exchange rate at the time of payment, rather than a rate that was locked in when the invoice was originally created.


This can help protect you from currency fluctuations between the time you issue an invoice and the time your traveler actually pays.


If you're using the Live Daily Rate, you can also add an optional Exchange Rate Buffer (%).


The live rate provided by Open Exchange Rates reflects the market exchange rate, but the rate you actually receive when converting currency through a bank or payment provider may be less favorable due to their exchange rate spread or fees.


The buffer lets you account for that difference by adding a percentage to the converted amount.


For example, if the live exchange rate calculates a payment at $1,000 USD and you apply a 2% buffer, the traveler will be charged $1,020 USD.


This gives you an additional way to protect your expected proceeds when accepting payment in a currency different from your invoice currency.



Manual Rate
Choose this option if you would prefer to control the exchange rate yourself. Manual exchange rates are managed under Financials → More Options → Currency Settings.

If you select Manual Rate but haven't created the exchange rate you need yet, click Create New Exchange Rate to set one up.

What does your client see?

Your invoice will continue to display in its original currency. Nothing about the invoice total or payment schedule itself changes.

When your client clicks Pay Now, they’ll see a Select Currency option before proceeding with payment.

For example, if an invoice is issued in EUR and you've enabled USD payments, they can choose to:

€14,450 EUR
or
the calculated amount in USD

They can then select their payment method and continue with their payment as usual.

Why offer another payment currency?

Offering another payment currency gives your travelers more flexibility without changing the currency or value of your invoice.


For example, you may have supplier liabilities in EUR and therefore issue your invoice in EUR, while your US-based traveler would prefer to pay you in USD. You can keep the invoice in EUR while allowing the traveler to pay the equivalent amount in USD.


If you bank in USD, this can also give your traveler the convenience of paying in USD via ACH, while still ensuring you collect an amount designed to cover your EUR liability.


By using a Live Daily Rate, the amount due is calculated based on the exchange rate at the time the traveler pays, rather than locking you into a conversion rate when the invoice is created. You can also add an optional buffer to account for the difference between the published market rate and the rate you may actually receive when exchanging the funds.


The result is more flexibility and convenient payment options for your traveler, while helping you protect your margins and avoid being at the mercy of exchange-rate fluctuations between invoicing and payment.
