What is an Itinerary template?
Learn about Itinerary templates and best practices when using them.

An Itinerary template is a version of an Itinerary saved in your Content Library that you can use as a starting point to create a new Itinerary.

  • An Itinerary template can be combined with another Itinerary using the Insert Itinerary functionality.
  • It may include Content Pages as well as details like notes, dates, flights, transfers, and custom edits.
    • It often makes sense to save your Itinerary templates with dates hidden (from the Details tab).


Follow the steps below to save an Itinerary as a template.



Once you have saved your Itinerary template, you can always edit it from your Content Library > Templates tab.



An Itinerary template is great to use if you frequently create similar Itineraries or repeatedly include the same set of pages in the General Info tab – for example, your About Us page or your Terms & Conditions page.


You can also use Itinerary Templates to save custom text like custom quotes on the Cover Page, or translated text for "Travel Brief" or "Map," or custom images for the default pages (Cover page, Map page, Travel Brief page, Costs page). Tips and Tricks💥

Inserting and Editing Itinerary Templates

    • You can merge itineraries together using templates.
    • For example, you might have a template for a 4-night stay in Cape Town with private touring, and use the Insert Itinerary feature to pull that itinerary into a longer safari itinerary you're working on.
    • Another example might be to create an Itinerary template for 3 days in Rome; you can then easily combine the 3 Days in Rome Itinerary template with a 4 Days in Tuscany template and—voilà!—you’ve created a complete trip in no time.
      • Note: Itinerary templates created in the Calendar Builder can be merged with itineraries you’re building in the Calendar Builder, and Classic Builder templates can be merged into Classic Builder itineraries.
      • Also note: Editing the Itinerary you used to create the Itinerary template won't edit the template; you have to navigate to your Content Library to edit the template from there.


Save Time Duplicating Itineraries

    • If you frequently create similar Itineraries—such as a circuit through Cape Town, the Winelands, and Kruger—you can streamline the process by using templates. This can save you time when adding transfers and internal flights.
    • For example, you can use the Add Flight Manually feature to insert placeholder flights, such as Fly from the USA to Cape Town, along with a note indicating that the traveler is responsible for booking the flight directly.
    • You can also save accommodations, activities, and costs into an Itinerary template. To further optimize, consider using Cost Templates.
    • You can also use the Hide dates option to build a sample Itinerary without assigning actual dates.


Save Time Adding Pages

    • Use Itinerary templates if you find yourself inserting the same set of pages repeatedly into Itineraries, such as Terms and Conditions, About Us, Contact Info, etc.
    • You could create an Itinerary template without anything on the Details tab at all, but with all your default pages already pulled into your General Info tab.
    • Similarly, you could customize the default texts like Travel Brief, Map, Costs, etc. to reflect your own personality - or to be in your own language.
      • If you use Safari Portal in another language, you could also set your Default Language from the Settings button on the Itinerary tab, including a preferred date and time format.



Custom Default Text & Images for Itineraries

    • Do you like customizing the default text in an Itinerary, such as changing Travel Brief to Your Overview? Starting with an Itinerary template with those changes already in place can save you time.
    • You can also set custom images for the Cover page, Map page, Travel Brief page, and Costs page and save that as a template.
      • For example, if you always want the same cover page image, you can include it in your template. However, keep in mind that this image—as well as the primary images for the map, travel brief, and costs pages—will remain fixed regardless of the Itinerary details added later when starting from that template.
