How can I use one Guest Portal without clients seeing each other’s info?
Steps to manage one Guest Portal while keeping traveler details private.

If you’d like to manage a group through a single Guest Portal while still protecting sensitive details, here’s how:

 

Step-By-Step Instructions

  1. Create a custom form to collect sensitive details such as passport numbers.
  2. On the Share Form tab, assign the custom form to the relevant File.


  3. Share the form link with each traveler individually so only they can enter their personal information.
  4. Hide the Guest Forms tab in the Guest Portal to prevent group members from viewing each other’s submissions.

 

 

5. After clients complete the form, you should still add them to the Guest Forms tab in the Guest Portal (even if the tab is hidden). This step ensures that:

    1. The trip is linked to each client’s profile.
    2. The trip appears in their travel history for future reference.
      1. Make sure to also hide the Travel Wallet page from the Guest Portal tab, otherwise their personal documents will also be visible there.

 

How to replace the default Guest Forms

If you’d like to use a custom form instead of the default Guest Forms within the Guest Portal (rather than sending a separate link for the form), you can hide the Guest Forms tab in the Guest Portal and create a new Guest Forms page in your Content Library. Here's how:

 

  1. Hide the default Guest Forms tab in the Guest Portal.
  2. Create a Miscellaneous Page in your Content Library.
    1. Name it Guest Forms or something similar.
    2. Embed the relevant form (e.g., Client Information Form) on the page using the Forms Element.
  3. Pull the page into the Guest Portal, so travelers can easily access and complete the form.

 

 

Managing a group with a single contact

If you’re only in direct contact with one main traveler in a large group, they can still easily share the Guest Portal with everyone else.

  • The main traveler can forward their Guest Portal link to all other group members (e.g., 12 other travelers).
  • Each traveler can then access the link and fill out the form individually.
  • Once completed, a profile will automatically be created in your contacts for each traveler.
  • This ensures all travelers’ information is collected in one place, even if you only communicate with the main contact.
