How to Use Visibility Settings in Superbuilder
Control exactly when itinerary events and information become visible to travelers using dates, trip milestones, and customizable visibility rules.

Superbuilder's Visibility Settings give you powerful control over what information your travelers see and when they see it.

Instead of displaying every detail from the moment an itinerary is shared, you can configure events and individual details to appear or disappear automatically based on dates or trip milestones.

You can also set default visibility rules for different event types, so your preferred settings are automatically applied whenever you add new events to an itinerary.

This allows you to create a more personalized, relevant client experience while reducing the need to manually update itineraries.

How to Configure Visibility Settings for Individual Events

  1. Open your Superbuilder Calendar Itinerary.
  2. Navigate to Board View.
  3. Add a new event or open an existing event.
  4. Locate the Visibility Settings within the event editor.
  5. Configure when the event or specific information should be shown or hidden.
  6. Save your changes.

Visibility Settings are available across event types, including flights, transfers, accommodations, and activities.

How to Identify Events with Visibility Settings

You can easily identify which events have Visibility Settings applied directly from Board View.

Any event with Visibility Settings configured will display a diagonal line texture, making it easy to spot at a glance.

Hover over the event and you'll see a "Visibility Settings Applied" tooltip confirming that visibility rules are in place.

What about the Itinerary tab?

If Visibility Settings are applied to an event or any of its individual details, the affected content will remain hidden in the Itinerary tab until the conditions you've configured are met.

This means you can build out your entire itinerary in advance, while controlling exactly when different information becomes visible to travelers.

Control Visibility Based on Dates & Milestones

You can configure visibility rules relative to specific dates or trip milestones.

For example, you might want to:

  • Show a flight only after the file has been confirmed.
  • Reveal certain accommodation details 30 days before the trip begins.
  • Make specific information visible on the day of an event.
  • Hide information after a relevant milestone has passed.

When configuring date-based visibility, you can specify the number of days before or after the selected reference point.

Tip: Entering zero days allows you to configure visibility relative to the day of the selected event or milestone itself. For example, selecting 0 days after file confirmation makes the information visible on the day the file is confirmed.

Control Visibility of Individual Details

Visibility Settings aren't limited to entire events. You can also control when specific information within an event becomes visible.

For example, you could display an accommodation on the itinerary from the beginning but keep its inclusions, exclusions, or contact information hidden until the file is confirmed.

You can even apply multiple visibility rules to the same event.

For example:

  • Only show inclusions and exclusions 30 days before the trip begins.
  • Only show contact information 7 days before the trip begins.

This allows you to share important information progressively, without overwhelming travelers with details they don't yet need.

Set Default Visibility Settings for Your Events

🦸🏻‍♀️ If you find yourself applying the same visibility rules repeatedly, you can save time by configuring default visibility settings for each event type.

These settings are automatically applied whenever you add a new event of that type to an itinerary, so you don't have to configure the same rules every time.

For example, you might want:

  • Flights: Always only show Travel Brief notes 7 days before the trip begins.
  • Accommodations: Keep inclusions, exclusions, and contact information hidden until the file is confirmed.
  • Transfers: Only show contact information and notes closer to departure.

Once you've configured these defaults, Superbuilder will remember your preferences and automatically apply them to new events.

How to Configure Default Visibility Settings

  1. Open your Superbuilder Itinerary Builder.
  2. Click the More Options dropdown.
  3. Select Visibility Settings.
  4. Choose the event type you'd like to configure.
  5. Set your preferred visibility rules for the event and its individual details.
  6. Choose whether to save these settings for yourself or for your entire team.
    1. Note, you must have the permission under Itineraries & Lookbooks > Manage team-wide settings in order to save Itinerary and Lookbook settings for the whole team.
  7. Save your changes.

Your selected visibility rules will now be automatically applied whenever you add a new event of that type to an itinerary.

Important: Default visibility settings are just a starting point! You can always override them on an individual event without changing your saved defaults.

This gives you the flexibility to maintain consistent visibility rules across your itineraries while still customizing individual events when needed.

Example: Show a Flight Only After Confirmation

Let's say you're preparing a proposed itinerary and don't want travelers to see a flight before the booking is finalized.

  1. Open the flight event.
  2. Navigate to its Visibility Settings.
  3. Configure the event to become visible when the file is confirmed.
  4. Save your changes.

The flight will then appear on the client-facing itinerary according to the visibility rule you've configured.

Example: Reveal Accommodation Details Before Departure

You might want to show the accommodation itself from the beginning while delaying certain practical information.

  1. Open the accommodation event.
  2. Locate the Visibility Settings for the relevant details.
  3. Configure those details to appear 30 days before the trip begins.
  4. Save your changes.

Your travelers will see the information when it becomes relevant to their upcoming trip.

Want this to happen automatically for every accommodation you add? Simply configure the same rule under More Options > Visibility Settings and save it as your default for accommodation events.

Why Use Visibility Settings?

Visibility Settings are particularly useful for:

  • Proposals: Keep certain booking information hidden until the trip is confirmed.
  • Pre-Departure Information: Automatically reveal practical details closer to departure.
  • Client Experience: Avoid overwhelming travelers with information too early.
  • Consistency: Apply the same visibility rules across your team's itineraries.
  • Flexibility: Override default settings for individual events whenever needed.
  • Automation: Reduce the need to manually show and hide information as the trip progresses.

🦸🏻‍♀️ Important: Visibility Settings control what appears on the client-facing itinerary. Always review your configured rules to ensure important information is available when your travelers need it.
