White Labeling Forms & Invoices
Learn how to white label forms and invoices, when to use co-branding, and important considerations for your clients.

Safari Portal allows you to white label forms and invoices with your partner agent's branding, creating a more cohesive client experience when working across multiple brands.

However, there are some important considerations to keep in mind before enabling this functionality.

Our Recommendation: Co-Brand Rather Than Fully White Label

We generally do not recommend fully white labeling forms or invoices.

Unlike itineraries and other client-facing content, forms and invoices often involve collecting payments, personal information, or electronically signed documents.

It's important that clients clearly understand who they're making payments to and which company is collecting and handling their information.

Fully replacing your company's branding with a partner agent's branding can create confusion, particularly when clients receive payment confirmations, signed documents, or other automated communications.

Our recommendation is to use co-branding instead, displaying both your company's logo and your partner agent's logo. This helps maintain a consistent branded experience while ensuring transparency for your clients.

When Full White Labeling May Make Sense

We understand that some businesses operate under multiple brands or work with partner agencies where maintaining a consistent client-facing identity is important.

In these situations, you may prefer to display only the partner agent's branding on forms and invoices, and Safari Portal supports this flexibility.

How to White Label Forms & Invoices

White labeling is a paid feature and must be enabled on your Safari Portal account.

Once enabled:

  1. Open the form or invoice you would like to white label.
  2. Enable the White Label option and search for the partner agent whose logo you'd like to display.
  3. The partner agent's logo will appear on the form or invoice in place of your company's logo.

You can also use the white labeling functionality to co-brand your forms and invoices, displaying both logos, which is our recommended approach.

Important Limitations: Automated Emails

White labeling a form or invoice does not fully white label the automated emails associated with it.

For example, your client may receive automated emails when:

  • An invoice payment is successfully processed.
  • A form is electronically signed, including a PDF copy of the signed document.

Some of these emails may be sent through Safari Portal's email infrastructure ([email protected]), with your company's email address appearing as the sender.

Your company's name may also appear in certain automated emails, even when the associated form or invoice displays only the partner agent's branding.

Best Practices

  • Use co-branding whenever possible. Display both your company's logo and your partner agent's logo.
  • Be transparent about payments and personal information. Clients should understand which company is collecting their information or processing their payments.
  • Consider the entire client experience. Remember that automated emails may reference your company's name or email address, regardless of the branding on the form or invoice.
  • Use full white labeling selectively. Reserve it for situations where it is important to maintain a specific partner brand experience and where the client will still clearly understand which company they're dealing with.

White labeling gives you flexibility in how you present your brand and your partners' brands. Our goal is to help you create beautiful, cohesive client experiences while maintaining clarity and trust throughout the process.
