What is everything I need to know about Guest Portal templates?
How to create, edit, and use Guest Portal templates to save time and stay consistent

Just like Itinerary, Lookbook, and Invoice templates, Guest Portal templates are a powerful time-saver that help you stay consistent across trips.

Why Use Guest Portal Templates

Guest Portal templates remember any pages you add through the General Info tab when creating a Guest Portal, including custom titles or edits you make in the inline editor.

For example, you could:

  • Always hide the Travel Brief page or the Guest Forms tab.
  • Consistently add a Pre-Travel page, visa information, a packing list, and a welcome note.
  • Build templates tailored to specific destinations (e.g., Safari, Europe, Asia) so you have a starting point ready for each new trip.
  • Remove the default emergency contacts section and replace it with a standalone Emergency Contacts page.

All of these preferences are saved automatically into your template, so you don’t need to repeat the setup each time. Guest Portal templates also remember:

  • Any documents added to the Travel Wallet


Guest Portal templates do not show:

  • The Guest Forms tab
  • The Flights tab

How to Create a Guest Portal Template

  1. Create a new Guest Portal for a confirmed trip, or click the Edit button to open an existing Guest Portal you’d like to use as a base.
  2. In the Guest Portal tab, click the arrow next to the Save button.
  3. Select Save as Template.


How to Edit a Guest Portal Template

  1. Go to your Content Library.
  2. Click Templates.
  3. Find the template you want under Guest Portal Templates and click Edit.
  4. Update the title and internal notes (these are how you’ll search for and identify the template).
  5. Make any other changes you’d like on any tab—such as removing client-specific info or hiding pages you don’t want visible in the client-facing portal.


How to Use a Guest Portal Template

  • When confirming a File, you’ll be prompted to create a Guest Portal. From this modal, you can search for and apply your template.
  • If you prefer to create the Guest Portal later, click Enter Portal on the File. You’ll then have the option to start from scratch or from a template.
