Quick Takeaways

  • In this webinar, Safari Portal showcased workflow upgrades across the Dashboard, Itineraries, Forms, Templates, and Financials, plus a preview of Bookable Trips.
  • Dashboard: Six pipelines (Leads, Planning, Confirmed, Traveling, Completed, Archived/Lost) with custom stages and colors; the "Uncategorized " section catches anything not staged. Confirming a trip auto-moves it to Traveling on its start date, then to Completed on its end date. A "Recently Deleted" section is planned.
  • File details: You can now add priority, source, trip type, channel, customizable regions, APTA/ATOL, sales consultant, partner agent, travelers, suppliers, and tags. Backfill existing Files now—these fields will power upcoming filters and a reporting module targeted for early next year.
  • Bookings tab (preview): Make trips bookable without external links. Define options (e.g., 4 vs. 5 nights, pax caps), collect traveler info, auto-generate an invoice, and accept payment; bookings surface on this tab.
  • Itineraries & Maps: Maps moved to Mapbox with configurable base styles (e.g., dark) you can set as default. Roadmap includes activities layers, transfer routes, and a left-side map layout.
  • Details tab: Create team-wide custom basis of stay entries (e.g., “Half-board with coffee/tea”) for one-click reuse.
  • Calendar Builder → Save to Google Sheet: Exports events to a prebuilt costing sheet with editable markup %, guest counts, and exchange rates, showing net, rack, and profit for quick estimates.
  • Forms: Five editable samples included (lead, trip planning, feedback, etc.). Drag-and-drop builder with autosave, Smart Fields that sync back to contact profiles, and grouped system fields. Embed on your site (widget recommended) or embed inside proposals/Lookbooks. Download submissions as PDF.
  • Lead forms auto-create a new Lead File with responses attached; the default File owner is the form creator. You can customize the on-screen submission message (email auto-reply isn’t available).
  • Where submissions attach: Assign a form to a specific File if you want responses on the trip; otherwise they live on the contact profile (Smart Fields update the profile either way). Guest-Form prefill and fully custom forms inside Guest Portals are ~4–5 weeks out.
  • Templates & reuse: Save Lookbooks, Itineraries, Guest Portals, and invoices as templates and manage them in the Content Library. Use Insert Itinerary to merge templates. Partner/DMC shares currently deliver an editable copy; real-time collaboration is on the roadmap. Content pages can be shared with Allow to save in Content Library.
  • Financials: Add tags (e.g., “Reconciled,” “Has Questions”), bulk-tag, filter, and export. The CSV now includes extensive trip, traveler, and payment metadata (Stripe payout, fees, net, source/type/channel, consultants, countries, APTA/ATOL, File tags, etc.); Created On will be added. Excel export is under review (CSV is most feasible; formulas live in Sheets).
  • Workflow tips: Use tasks or custom stages for internal milestones (e.g., post-trip letters). You can confirm once an Itinerary with dates exists; many open the Guest Portal at confirmation, or send standalone Guest Forms first and launch the portal later.
