How to Prepopulate Forms in Travel Dashboards with Existing Contact Information
Allow repeat guests to review and update their profiles while optionally enabling new guests to create their own profiles from the same Forms Card.

If you're working with repeat guests, you may already have contact profiles stored in Safari Portal. By adding those contacts to a Forms Card, you can prepopulate their forms with the information you already have on file, allowing them to simply review and update their details.

At the same time, new guests who don't yet have contact profiles can create their own profiles by completing the same form.


Step 1: Add a Forms Card to Your Travel Dashboard

  1. Open your Travel Dashboard.
  2. Add a Forms Card.



For the card settings, we recommend:

  • Title: Edit Your Profile or Create a New One
  • Description: Leave blank
  • Button Text: Add a Guest



Step 2: Select Your Form

Choose the form you would like guests to complete.

This can be any form that collects traveler information, passport details, preferences, emergency contacts, or other information you need for the trip.


Step 3: Add Existing Travelers

Under the Travelers section:

  1. Click Add Traveler.
  2. Search for and select any existing contacts you already have on file.


When a traveler opens the form, any available system field data stored in their contact profile will automatically prepopulate the form, allowing them to review and update their information rather than starting from scratch.


Step 4: Configure the Forms Card Settings

Under Settings, enable:

  • Allow travelers to view forms
  • Allow travelers to edit forms


Important: If travelers can view or edit form responses, we strongly recommend sharing the Travel Dashboard using Share via Email with passcode protection enabled to help keep personal information secure.



You may also wish to enable:

  • Display traveler-added documents as a separate section โ€” useful if you want travelers to have a dedicated section containing any documents they upload through the form, such as passports, visas, or waivers.
  • Attach form responses to a file โ€” useful if you'd like completed forms and uploaded documents to automatically appear within the associated file.



How It Works for Returning and New Guests

Returning travelers whose contact profiles have been added to the Forms Card will see forms prepopulated with any information already stored in Safari Portal.

New travelers can use the Add a Guest button to complete the same form and create a new contact profile.

This approach makes it easy to keep existing traveler information up to date while collecting details for additional guests who are joining the trip.



If You Only Have Return Guests

If you only have return guests on this trip:

  • Set the Form Card Title to be something like, "Is your profile still up to date? Click the pencil to edit."
  • Leave the description and the button text fields empty.
  • Toggle on the settings to allow to view and edit form submissions.
  • Optionally, attach the form responses to the relevant file.


Pro tip: If you don't need clients to add any new travelers, you can always hide the button by deleting the button text and leaving the button field blank.
