Quick Takeaways
- In this webinar, Safari Portal's resident Zapier Specialist Jessica Latta led a live, step-by-step walkthrough of building a Zap from scratch โ connecting Safari Portal to an email marketing platform (MailChimp) using the New File trigger.
- Zapier is a no-code automation platform that connects over 9,000 apps. Safari Portal is now officially one of them, meaning it can be connected to thousands of tools without any coding required.
- Every Zap is built around a trigger and an action โ if something happens (the trigger), then something else happens (the action). When thinking about what to automate, start with tasks you do repeatedly or dread most.
- The New File trigger fires whenever a new file is created in Safari Portal. The built-in file type filter (Lead, Planning, Confirmed, Archived) lets you scope it to only the files you care about โ so the Zap doesn't fire for everything.
- When setting up a trigger, submit a real test record while the Zap editor is open so Zapier captures live sample data immediately โ this makes mapping fields in subsequent steps much easier.
- Dynamic field mapping is where Zapier's power really shows: instead of hardcoding values, you pull in data from your trigger (name, email, phone) so the action populates correctly for every new record automatically.
- Use built-in deduplication settings when configuring your action โ for example, MailChimp's "Update if already exists" option prevents the same contact from being added twice if a lead form is submitted more than once.
- Test every step individually before publishing, then do a full end-to-end test after the Zap goes live by submitting a real record and confirming it appears correctly in the destination app.
- Name your Zaps descriptively (e.g., "Safari Portal New Lead File โ Add Contact to MailChimp") so you can tell at a glance what each automation does, especially as your Zap library grows.
- Zapier's field search bar is faster than scrolling โ when mapping fields in the action step, type a keyword (like "email" or "phone") rather than scrolling through the full list.
- The Zapier integration is actively being expanded. To share feedback or report issues while building, use the Zapier feedback form in the Safari Portal help widget (search "Zapier" in the bottom-left corner), or reach out to schedule a support call.
