If your Travel Dashboard contains personal information โ such as forms where travelers can view or edit their submissions, invoices, or other sensitive trip details โ we strongly recommend enabling passcode protection.
๐ Passcode protection ensures that only approved individuals can access your dashboard, regardless of how the link is shared.
Enabling passcode protection
To enable passcode protection:
- Open your Travel Dashboard.
- Click Share.
- Turn on Protect link with one-time passcode.
Once enabled, passcode protection applies to the Travel Dashboard link itself โ not just emails sent through Safari Portal.
This means you do not need to share your Travel Dashboard via email in order to protect it. Whether you:
- send the dashboard via Safari Portal email,
- copy and paste the link into your own email,
- share it via text message or Whatsapp,
- or include it anywhere else,
anyone who clicks the Travel Dashboard link will be required to verify their identity before accessing the dashboard.
How passcode protection works
When passcode protection is enabled:
- Users must enter an approved email address.
- A one-time passcode (OTP) is sent to that email address.
- The user enters the passcode to access the dashboard.
This ensures that only approved recipients who have access to the email account can open the Travel Dashboard.
Adding approved travelers
Once passcode protection is enabled, you'll see an Access List where you can approve who can access the dashboard.
You can grant access in three ways:
- Search for and add an existing contact
- Add an email address directly
- Add all travelers assigned to the file with a single click
Note: Adding an email address directly creates an access permission only. It does not automatically create a new contact record in Safari Portal.
For each approved person, you'll see:
- Their name (if available)
- Their email address
- Their access status
Access statuses
Will receive passcode
The person has been approved but has not yet accessed the dashboard.
Has access
The person has already received a passcode and successfully accessed the dashboard at least once.
What travelers experience
When someone opens a protected Travel Dashboard, they'll first be asked to enter their email address.
If their email address is approved
- They'll be notified that access is available.
- A one-time passcode will be sent to their email address.
- They'll enter the passcode.
- They'll gain access to the dashboard.
If their email address is not approved
They'll see a message explaining that they do not currently have access and will be able to request access by providing:
- First name
- Last name
They can then click Request Access.
Access requests and approvals
When someone requests access, Safari Portal automatically notifies file owner.
They can then approve access directly from the request notification.
Once approved:
- The traveler receives an email confirming that access has been granted.
- The email includes a link back to the Travel Dashboard.
For security reasons, travelers must still complete one-time passcode verification after clicking the approved access link.
Managing dashboard access
You can manage dashboard access at any time from the Manage Access area.
From here, you can:
- Review who currently has access
- Add additional people
- Remove access for existing users
Important things to know
- Turning passcode protection off does not delete your approved access list.
- If you turn protection back on later, your existing access list will be restored automatically.
- If a contact exists in Safari Portal, their name will be displayed instead of their email address.
- You can approve email addresses even if they do not yet exist as contacts.
- All users must complete one-time passcode verification before accessing a protected Travel Dashboard.
