Travel Dashboards are incredibly flexible, and there's no single "right" way to use them. Every business works differently, but the recommendations below reflect the workflows we've found to be the most efficient and easiest to maintain.
Start with a File
For every new inquiry, begin by creating a File from your Files Dashboard.
If you're using Lead Forms embedded on your website (or shared elsewhere), this happens automatically. Every new submission creates:
- A new File in your Leads pipeline
- The relevant contact records
- The relationship between those contacts and the File
This gives you a single place to manage everything related to that inquiry from the very beginning.
Create a Travel Dashboard immediately
As soon as you've created the File, create a Travel Dashboard.
Rather than creating individual itineraries, invoices, forms, and documents first and then sharing them separately, use the Travel Dashboard as the central hub for everything you share throughout the lifecycle of the trip.
Create content directly from the Travel Dashboard
One of the biggest time savers is creating new content directly from within the Travel Dashboard.
For example, when you add an:
you can simply select:
New → From Template
instead of creating the item elsewhere first.
If you don't have templates yet, you can always choose:
New → From Scratch
This allows you to build everything without ever leaving the Travel Dashboard.
Use templates wherever possible
Templates make creating new trips significantly faster.
Good candidates for templates include:
- Destination lookbooks
- Destination itineraries
- Trip-type itineraries
- Planning fee invoices
- Payable invoices with payment schedules for trip deposits and final payments
- Client forms
- Guest information forms
- Client agreements
With templates in place, most new Travel Dashboards can be assembled in just a few minutes.
Use the same Travel Dashboard throughout the client journey
Rather than creating multiple Travel Dashboards, we recommend keeping a single Travel Dashboard that evolves alongside the trip.

Before Departure
- Travel Brief (travel brief card or cards with their accommodations, flights, transportation, and/or full brief at-a-glance)
- Packing lists (content page)
- Emergency contacts (content page)
- Vouchers (documents card)
- E-tickets (documents card)
- Restaurant recommendations (lookbook template or content page)
- Destination guides (lookbook template)
By replacing or removing content as the trip progresses, clients always have one familiar place to find everything they need.
Use interactive content
Travel Dashboards aren't limited to documents.
Consider adding interactive content such as:
- Spotify playlists
- Weather forecasts
- Videos
- Destination inspiration, dining guides, and activity recommendations
These small touches can create a much more engaging client experience.
Protect client information
Once your Travel Dashboard contains personal or trip-specific information, we recommend enabling Passcode Protection.
For Forms, you can also configure individual card settings so form responses aren't accessible from an open link.
Organize your Travel Dashboard clearly
A well-organized Travel Dashboard is easier for clients to navigate.
We recommend:
- Breaking content into logical sections
- Using different section widths to create visual hierarchy
- Keeping related information together
- Removing content that's no longer relevant as the trip progresses
Brand your Travel Dashboard
Travel Dashboards look best when they reflect your brand.
We recommend:
- Applying one of your Themes (or creating one specifically for Travel Dashboards)
- Selecting My logo is round if applicable
- Matching your header background color to your logo if it includes a colored background
- Choosing a background image, gradient, or solid color that complements your branding or the content of the Travel Dashboard
