Can I let clients choose their own options and book trips directly?
Everything you need to know for clients to select their own options and Add Ons and book their trips via the Make Bookable flow.

Making a trip bookable allows your clients to select their own options and add-ons, check out securely, and complete their booking online. All bookings are tracked on your Dashboard so you can easily see remaining availability, who booked which option, and which travelers are grouped together.


You can fully customize how your Make Bookable button behaves — including directing it to a lead form, email, or phone number, or automatically switching to a Join Waitlist message when availability runs out. You can also configure payment schedules, confirmation emails, and automated payment reminders.


Enable Bookable Mode

  1. From your Dashboard, click Edit next to the Itinerary or Lookbook you want to make bookable.
  2. Click the Make Bookable button on the Itinerary or Lookbook tab.
  3. In the modal, choose whether to:
    • Make the trip fully bookable (recommended for this tutorial)
    • Link the button externally (e.g., to an invoice, a form, an email address, or a phone number)


🎉 Let’s focus on making the trip bookable.


You’ll now see five tabs on the left: Settings, Booking Options, Add-Ons, Invoice Settings, Emails.


1. Settings

Show Button

Toggle on Show Button to enable the Book Button. You can customize:

  • Button text
  • Button color
  • Text color


Currency

Select the currency you want to use for all invoices in this booking flow.

  • Only one currency can be used per booking flow.


Booking Limitations

Use limitations to control when the button disappears or changes behavior. You can trigger actions when:

  • All options are booked
  • A maximum number of travelers is reached
  • A specific date has passed


For example:

  • When all options are sold out, automatically change the button to “Join Waitlist” and open a lead form
  • Hide the button entirely after a certain date
  • Combine multiple limitations (e.g., if you check all three limitations, then as soon as the trip is sold out OR total traveler count reached OR a specific date has passed, the button will change or disappear)


2. Booking Options

This is where you set up the options clients can book.


Examples:

  • Option 1: Junior Suite (Single) → This package is for 1 traveler and the cost is for the entire package.
  • Option 2: Junior Suite (Double) → This package is for 2 travelers and the cost is for the entire package.

Or,

  • Option 1: 9-night Safari for 5 people
  • Option 2: 9-night Safari for 5 people + 4-night Coast Extension


For each option, you can configure:

  • Title
  • Description
  • Number of packages available
  • Number of travelers included
  • Total cost per package (not per person)


3. Add-Ons

Add-ons allow clients to personalize their trip. Examples:

  • Hot air balloon
  • Unlimited drinks
  • Coast extension (as a per-person add-on)


For each add-on you can:

  • Add an icon (e.g., search “hot air balloon”)
  • Add a description
  • Optionally specify quantity limits


📌 Note: Use + to add more add-ons, and hover + click to delete. Add-ons are per person, not per package.


4. Invoice Settings

This section defines what the invoice looks like once clients select their options and add-ons.


⚠️ Important Recommendations:

  • Use percentage-based payments or remaining balance payments so amounts adjust automatically based on what options and add-ons are selected during the booking process.
  • Bookable trips cannot use due dates relative to the trip start/end — choose fixed due dates unless tied to “day invoice is issued.”


Payment Processor

You must select a payment processor to accept bookings. If none is set up:


Once selected, you can configure:

  • Payment schedule
  • Card payment settings (allow or disable)
  • Optional card surcharges (ensure legal compliance in your region)
  • Company info
  • Invoice notes
  • Terms & Conditions
  • Automated payment reminders


📌 Note: If you already have an invoice template, use the toggle to load it — all fields will pre-populate.


5. Emails

Two automated emails are sent during the booking process:


Booking Email

Sent immediately after clients select options, add-ons, and traveler info. Includes:

  • Link to the invoice
  • Notification that they have 60 minutes to complete checkout before options are released


Confirmation Email

Sent as soon as checkout and payment are completed. You can customize:

  • Subject line
  • Message body


You may also want to include links (e.g., a client information form).


Saving or Resetting

  • Save to keep your progress
  • Save & Close to exit
  • Start Over to clear all configurations

How to Hide the Book Button Once You've Set It Up

There are two options to hide the Make Bookable button:

  • Click Start Over at the bottom of the modal.
    • This will remove all previously entered inputs.
  • Toggle off Show Book Button in the Settings tab of the modal.
    • This will hide the Book Button, but all your inputs will remain saved if you toggle it back on.


Tips & Tricks 💥

  • Once you make the trip bookable using the Make Bookable flow, all bookings initiated through the button will appear in the Bookings tab of the associated File.
