How to manage payments made outside Safari Portal or apply credits to a final balance

Use discount codes to account for deposits paid outside Safari Portal or apply previously paid amounts toward a traveler’s remaining balance.


There may be times when a traveler has already made a payment outside of Safari Portal, such as by check, or when you need to apply a credit from a previous payment toward their final balance.


The easiest way to handle these situations while keeping your available packages and balances accurate is to use discount codes.


If a traveler paid their deposit outside Safari Portal

For example, if a traveler paid their deposit by check but you still need to register them through the booking flow:

  1. Create a discount code for 100% of the deposit amount.
  2. Have the traveler complete the booking flow and enter the discount code when prompted.
  3. Alternatively, you can complete the booking flow on their behalf and apply the code yourself.


This allows the traveler to complete the booking without being charged for the deposit again, while still ensuring that the booking is recorded and the number of available packages is reduced accordingly.



If you need to apply a credit toward the final balance

For example, a traveler may have paid a deposit for an extension that is no longer running, and you’ve agreed to apply that amount toward the final balance of their main program.


In this case:

  1. Create a discount code for the amount you would like to credit.
  2. Set the discount code to apply to the final balance.
  3. Apply the code to the traveler’s invoice, or allow the traveler to enter the code themselves.

If you would like the traveler to enter the code, make sure Allow clients to enter discount codes is enabled in the invoice settings.

This will reduce the traveler’s final amount due by the appropriate amount while keeping the original booking and payment structure intact.
