What will my clients experience when viewing an invoice?
How to share invoices & what your clients will experience with each option.

You can share invoices from Safari Portal in several different ways:

 

  1. By email with scheduled payment reminders (recommended)
  2. By embedding the invoice within a proposal or Guest Portal
  3. Via the Book Now flow
  4. Directly via a link
  5. As a PDF

Option One: Email with Scheduled Payment Reminders (recommended)

This is the best option because it automates payment tracking and reminders, improving efficiency for both you and your clients.

 

  • Clients receive an email with the subject line: "Invoice 12345 from [Your Company Name]."
  • The email includes a View Invoice & Pay Now button.
  • Clicking the button takes them directly to their digital invoice, where they can:
    • View outstanding payments.
    • Select their preferred payment method (credit card, bank wire, ACH, SEPA, etc., depending on what payment options you had enabled).
      • If you had enabled card payments and passed on card processing fees, they will see these clearly delineated.
    • Pay instantly through the online checkout flow—no need to manually send card details, mail a check, or visit a bank.


Option Two: The Invoice Element

Embed invoices into an Itinerary, Lookbook, or Guest Portal using the Invoice Element.

 

  • On the client facing view, clicking the Open Invoice button takes them directly to their digital invoice where they can:
    • View any outstanding payments
    • Choose their preferred payment method.
    • See card processing fees clearly (if enabled)
    • Pay instantly through the online checkout flow

 

 

Option Three: Via the Book Now Flow

  • When the Book Now flow is enabled, clients can open their invoice and pay directly through the Book Now button after selecting their trip options. This lets them review the invoice details and complete payment immediately.
  • When your client reaches the Continue to Payment screen, they’ll receive an automated email stating: If payment isn’t completed within 60 minutes, this reservation will expire and you’ll need to book again.
  • The email includes a link to the invoice for review and payment.

 

 

 

Option Four: Sharing as a PDF

  • Clients see the invoice details, including payment amounts, your company information, and any notes or miscellaneous sections.
  • Limitations:
    • No instant payment option—clients must initiate payment separately.
    • Attachments (if any) won’t be visible.
    • You’ll need to manually track payments and follow up with reminders.

 

Option Five: Share Directly Via Link

  • From the Send tab when editing an invoice, you can copy the invoice link and share it in an email, WhatsApp message, or chat.
