- Add an e-signature and required terms to every authorization form. Rachel's strong recommendation: without an e-signature and email verification, you will not win a chargeback dispute if one comes in.
- CVVs and card numbers store for 60 days by default. Turn on the authorization button's extended-storage setting to keep both accessible for up to 12 months.
- A File is the hub for one inquiry, not one client. The same family can have two Files open at once โ say a confirmed safari and a separate holiday inquiry โ because proposals, invoices, and payments all live at the File level.
- Fill in the Information tab on every File. Sales consultant, partner agent, tags, and trip type all live there, and the in-app AI assistant (in beta as "Ask Ms. Wilde" at recording time) can only surface insights from Files where that data was actually entered. - Task Sets keep repeatable work from falling through the cracks. Build a reusable set of tasks per trip type, toggle it to auto-attach to every new File, and due dates fill in automatically once the triggering event happens. What are Task Sets?
- Task Sets are shareable across your team, so one person builds the standard set and everyone uses it instead of recreating their own.
- Track supplier expenses, not just client invoices, for real profit numbers. Logging expenses alongside client payments gives you margin and projected profit per File โ and paying suppliers through the Flowbrite integration carries no platform fee at all. Supplier payments with Flowbrite
- From the Q&A. Dashboard card visibility settings only matter when you want a specific card โ like an invoice โ hidden from some recipients; without them, everyone sees every card. A one-time passcode on a shared link works by wrapping the itinerary in a Travel Dashboard and passcode-protecting the dashboard as a whole; itinerary links are hidden from search engines by default. Custom contact field updates apply to every contact, not just one. A multi-admin, role-based permissions update is coming in the next few weeks.
- Guest Portals are being phased out in favor of Travel Dashboards. New ones can be created through the end of 2026; existing ones stay live for clients through the end of 2027. What are Guest Portals?
