How do I share credit card authorizations via email?
Steps to email credit card authorization forms to guests and create email templates.

You can send credit card authorization forms by copying and sharing a secure link, or by sending them directly via email. When sharing by email, you can create and reuse saved email templates to save time. Here’s how:


Step-By-Step Instructions

Send Via Email

  1. Navigate to the Contacts module from your Dashboard.
  2. Open the profile of the traveler whose card details you want to collect.
  3. Navigate the Credit Cards tab within their contact profile.
  4. Configure the credit card authorization
    1. Check the box to Ask for billing address and phone number if required.
    2. Check the box to request to keep card on file for up to 12 months.
      1. Otherwise it will be stored for 60 days only.
    3. Optionally, request an e-signature.
      1. When enabled, guest must sign and verify email before completing credit card authorization.
    4. Select Authorization Type and choose between:
      1. General Authorization – for open-ended use.
      2. Fixed Amount Authorization – recommended. This allows you to specify an amount for record-keeping purposes (note: it does not limit how much can be charged on the card; it simply displays the authorized amount on the form).
    5. Review and edit the Terms & Conditions as needed, or apply a Terms & Conditions template.
  5. Click Generate Link.
  6. In the modal, choose Share via Email.
    1. The recipient will automatically be the email on the contact profile.
  7. Enter a subject line and the content of your email.
    1. We’ve included a sample subject line and email body to get you started.
    2. Click Share.


📌 Note: Once you generate the link, it will be active for 96 hours.



Create an Email Template

  1. In the share modal, type your subject line into the Subject field.
  2. Enter the email content in the Body field.
  3. Turn on the Save as New Template toggle.
  4. Enter a unique, descriptive name in the Template Name field.
  5. Click Save.
    1. To use a template, select it from the Select Template dropdown.



Tips & Tricks💥

  • To delete an email template, hover over the template name in the Select Template dropdown and click the trash can icon.



  • To edit an email template, select it from the Select Template dropdown, make the relevant changes and click Update Template.



  • To set an email template as your default, hover over the template name in the Select Template dropdown and click the star icon. The star will turn yellow to indicate that it’s now your default template. Click the star icon again to remove the default setting.



  • If you selected an incorrect template, simply choose a new one from the Select Template dropdown or click Deselect to clear your selection.
