What is a Contact Profile?
A profile uniquely identified by first name, last name, and email.

Every Traveler, Supplier, and Partner Agent in your Contacts module is a contact and has a Contact Profile. Understanding how Safari Portal identifies a contact explains what happens when the same person's details are entered more than once, whether created individually or through a spreadsheet import, a Guest Portal, or from a Custom Form submission.


Contact Types

Every Contact Profile falls into one of three types:

  • Traveler: A guest you're planning, or have planned, a trip for.
  • Supplier: A vendor, such as a hotel or DMC.
  • Partner Agent: Another travel advisor or agency you work with, often for White Labeling.


What Makes a Unique Contact

For Traveler Contact Profiles, Safari Portal treats the first name, last name, and email together as a contact's unique identity.


Whenever new information for a contact comes in, whether by manual entry, a CSV import, a Guest Portal, or a Custom Form, Safari Portal checks it against your existing contacts.

  • If all three fields match an existing contact, that Contact's Profile is updated instead of a new one being created.
  • If any of the three fields are different, even a nickname, a misspelling, or a different email address, Safari Portal creates a new Contact Profile instead.


📌 Note: A client entering a nickname in a form (e.g., "Tamara Smith" vs. "Tammy Smith") or making a typo is enough to create a duplicate. You can always merge the duplicate Contact Profiles to combine them.


Tips & Tricks 💥

  • Contacts can be created several ways: by adding an individual contact, by importing a CSV, by importing Supplier or Partner Agent contacts, or automatically whenever someone submits a Guest Portal or Custom Form.
  • Because matching relies on exact values, keep first names, last names, and emails consistent across your booking tools, forms, and spreadsheets to avoid creating duplicate contacts by accident.
  • All contacts are assigned a unique contact ID. You can find the ID at the top of the Contact Profile.
