How do I share Invoices?
Share invoices via email (with or without automated reminders), embed them in a proposal or Guest Portal, download them as a PDF, and more.

Safari Portal offers multiple convenient methods for sharing Invoices, allowing you to choose the option that best fits your workflow and client communication style.


Send via Email (Recommended)

  1. Go to the Financials module.
  2. Locate the relevant invoice.
  3. Click Share from the three-dot menu next to the invoice you want to send.
  4. In the modal, enter a custom subject line and message or select an email template.
    1. The email will be sent to all recipients specified on the invoice.
  5. Click Send.



You can also share an Invoice via email while editing it. This method is preferred because it gives you the option to also trigger automated payment reminders.


  1. Go to the Financials module.
  2. Locate the relevant invoice.
  3. Click Edit next to the invoice.
  4. Go to the Send tab.
  5. Choose a recipient from the drop down, or create a new contact.
    1. Click the + sign to add additional recipients.
    2. Click the - to delete additional recipients.
  6. If needed, toggle on payment reminders and schedule.
  7. Click Send Invoice.
  8. Enter a custom subject line and message or select an email template.
  9. Click Send.

If automated payment reminders were enabled, they will be automatically scheduled—and will stop once the payment is made.



The Invoice Element

Embed invoices into an Itinerary, Lookbook, or Guest Portal.


  1. Open the Itinerary in the builder.
  2. Navigate to the Element Library.
    1. Hover between sections on any page and you will see the blue line with a blue plus.
  3. Select the Invoice Element.
  4. From the dropdown, search for the relevant invoice.
    1. Only invoices linked to the File you're working in will appear in your search results.



Via the Book Now Flow

  • When the Book Now flow is enabled, clients can open their invoice and pay directly through the Book Now button after selecting their trip options. This lets them review the invoice details and complete payment immediately.
  • When your client reaches the Continue to Payment screen, they’ll receive an automated email stating: If payment isn’t completed within 60 minutes, this reservation will expire and you’ll need to book again.
  • The email includes a link to the invoice for review and payment.




Share as a PDF

You can generate and share a PDF Invoice, but note that this requires manual follow-ups:

  • You’ll need to remind clients to pay.
  • You’ll have to manually check for payments.
  • You'll have to manually mark payments as paid.

To download a PDF version of an Invoice:

  1. Go to the Financials module.
  2. Expand the relevant File.
  3. Click Edit next to the Invoice.
  4. Click Preview.
  5. Choose Download PDF.



Share Directly Via Link

  • From the Send tab when editing an invoice, you can copy the invoice link and share it in an email, WhatsApp message, or chat.
