What are the different tabs on the Dashboard?
What they are and how to move a trip between different pipeline sections on my Dashboard, like Planning, Confirmed, Archived, etc..


The Dashboard is organized into Pipeline Phases, with tabs that categorize your Files based on their current phase in your sales flow. These tabs help you track where each File stands in your process, from Lead to Completed, or Achived/Lost.


Leads

The Leads tab helps you track new inquiries, qualify them, and prepare to start planning a trip.


Planning

The Planning phase should include any Files that are actively being worked on but have not yet been confirmed.


Confirmed

1. You can move a File to Confirmed by clicking the Confirm button at the File level.



2. Then, choose the Itinerary you want to Confirm.

3. Select the number of guests (this is how we generate Bednight Reports).

4. And then choose whether you'd like to create a Guest Portal now, or not.


Move a Trip Between Different Phases

1. Click the three dots to the right of the File.

2. Select the phase you would like to move the File to.


Traveling / Completed

Files will automatically move into the Traveling and Completed phases based on the travel dates of the confirmed Itinerary.


Archived

Archive Files that do not confirm for various reasons, such as:

  • Lost Contact
  • Budget Too Low
  • Delayed Travel Plans
  • Chose Another Company
  • Cancelled Trip
  • Other Reason


Archiving Files helps keep your workspace organized while preserving the information for future reference if needed.


Recently Deleted

  • Deleted Files are retained for 30 days. After that period, the Files will be permanently removed.
  • If there are any tasks, form submissions, invoices, expenses, or chats associated with the deleted File, they will also be deleted. However, these items can be restored if the File is recovered within 30 days.

Tips & Tricks 💥

  • You cannot confirm Itineraries without firm dates.
  • For Sample Itineraries, it’s best to store them as Itinerary Templates in the Content Library > Templates tab for easier access and reuse, and to keep your Dashboard clean.
  • Archived Files do not automatically deactivate the proposals in the File.
    • The Pipeline stage that the File is in doesn't have any effect on how clients interact with the Itinerary/Lookbook, apart from:
      • If the link is deactivated, they will not be able to view it, and it will be removed from their app Dashboard if it was in their app.
      • If the Itinerary dates are current, it would be in the Traveling stage in your pipeline, and it would have a current tag in the app
      • If the Itinerary dates are in the past, the File would be in the Completed stage in your pipeline, and it would automatically be moved into past on your client's app Dashboard.
