Can I use the Invoicing & Financials module without syncing with a payment processor?
How to manage invoices and financials without connecting a payment processor.

Yes, you can use invoicing without integrating a payment processor, but you will need to manually mark all payments as "paid," which significantly reduces the efficiency and value of the solution for both you and your clients. Here’s what that means in practice:

1. Limited Payment Flow for Clients

  • Without a payment processor integration, you can still generate invoices, but clients won’t be able to pay directly through the invoice.
    • If integrated, clients can simply click the invoice link, select a payment method, and pay instantly.
    • Without integration, clients paying by bank wire, SEPA, or ACH must manually enter your bank details into their bank portal—or even visit a bank in person—adding extra steps and potential friction.

2. No Card Payment Option

  • You won’t be able to accept credit or debit card payments, which is often the easiest option for clients.

3. No Access to Card Surcharging Features

  • Our system provides a custom card surcharging solution that allows you to:
    • Enable or disable card payments.
    • Choose whether to absorb card processing fees or pass them on to your clients.
    • Set a specific surcharge fee that is automatically applied when clients pay by card.
  • Without a payment processor, you lose access to these flexible payment options.

4. Manual Payment Tracking

  • You will have to manually check whether payments have been received by logging into your bank—or worse, checking your mailbox for checks.
  • An integrated payment processor automatically tracks incoming and outgoing payments, saving you time and reducing errors.

5. Manual Payment Reminders & Follow-Ups

  • Without integration, you must personally:
    • Check for unpaid invoices.
    • Send reminders and final payment requests to clients.
  • With an integrated processor, payment reminders can be automatically sent, ensuring payments are collected on time without manual follow-ups.

What You Can Still Do Without a Payment Processor

Even without integration, the Invoicing & Financials tool still provides significant value:

✔ Generate invoices in seconds using invoice templates.
✔ Maintain a ledger that tracks all incoming and outgoing payments for each file.
✔ Monitor profitability by file, filter payments over time, and gain financial insights.

While you can still manage your finances effectively, integrating a payment processor enhances convenience, automation, and efficiency—both for you and your clients.
