How can I add contacts to my Contacts module?
Add contacts automatically through forms, one at a time, or by importing a file.

The Contacts module is where you manage all of your Contact Profiles for Travelers, Suppliers, and Partner Agents. Read on to learn how to add Travelers to your Contacts module.

Adding Automatically via Travel Dashboards, Guest Portals, or Custom Forms

Any client who completes a form in a Travel Dashboard, a Guest Form in a Guest Portal, or any Custom Form from your Forms module will automatically appear in your Contacts module. No action is needed on your part. Form responses are always saved to the traveler's Contact Profile, even if they are not attached to a File.

This includes their contact info, travel history, and connections to other travelers. It also includes details they've added in past forms, like passport info and dietary preferences (as long as those were entered in synced fields, in a Form Card on a Travel Dashboard, or via a Guest Form in a Guest Portal).

📌 Note: Guest Portals are available on Tier II subscriptions and above.

For those not yet using Travel Dashboards, Guest Portals, or Custom Forms, now is a good time to start! To collect traveler details on a Travel Dashboard, see Adding a Form Card to a Travel Dashboard. Guest Portals also make it easy to share guest information with your DMCs. See How do I share relevant client information with suppliers, DMCs, and partners?

Adding Individual Contacts

Sometimes you want to add one-off contacts. Here's how.

  1. Navigate to your Contacts module from your sidebar.
  2. Click the pink + Create New button at the top.
  3. Select the contact type (for example, Traveler, Supplier, or Partner Agent).
  4. In the pop-up window, fill out as much of the new contact's info as you'd like. Only First Name, Last Name, and Email are required.
  5. Click Create. You'll be taken to that contact's individual profile. There, you can add passport information, upload documents, and more.

Adding from a Spreadsheet or CRM

If you have client information already stored in a third-party CRM or spreadsheet, you can import your contacts into your Contacts module.

  1. Navigate to your Contacts module from your sidebar.
  2. Click More Options, then Import Contacts.
  3. Select the type of contact you want to import (for example, Travelers, Suppliers, or Partner Agents).
  4. Select or drag your contacts file to upload it into Safari Portal. If you use a CRM, export your contacts into a .csv format first, then upload to Safari Portal.

⚠️ Important: You must save your file in a .csv format to import it. Your file also must have column headers; they must include "First Name," "Last Name," and "Email Address."

  5. Use the dropdowns on the right to match the .csv column names on the left to the corresponding properties in Safari Portal. You can also search for the names of different Safari Portal properties. Click Continue in the bottom-right when you're done.

📌 Note: You won't be allowed to proceed until you've matched the First Name, Last Name, and Email Address columns.

  6. If you would like your contacts to be overwritten, for example when updating contact information, check the checkbox. Otherwise, click Confirm, then Got it on the next page.

Safari Portal will begin uploading your contacts to your account. You will receive a notification via the email associated with your account once the import is complete.
